What a real mechanical takeoff has to capture
Ductwork & air distribution
Supply, return, exhaust, and outside-air duct in LF by size and gauge; rectangular vs round; SMACNA pressure class; diffusers, registers, grilles and terminal boxes counted off the plans and matched to the schedule.
Piping & specialties
Hydronic supply/return, chilled water, condenser water, condensate, gas, and refrigerant piping by size and material. Valves, fittings, unions, strainers, expansion tanks, and specialties tied to the piping riser diagram.
Equipment, insulation & hangers
AHUs, RTUs, chillers, boilers, pumps, VAVs, FCUs, VRF heads — all keyed to the equipment schedule. Duct and pipe insulation by thickness and jacket, hangers by spacing, plus test-and-balance scope.
What a good mechanical estimator watches for
- Schedule vs plan. The mechanical schedule is authoritative on equipment counts and sizes; the plan is authoritative on where it lands. When they disagree, the RFI wins — but the takeoff needs to flag it first, not after buyout.
- CSI Division 23 breadth. Basic materials 23 05, insulation 23 07, HVAC piping 23 21, ductwork 23 31, air distribution 23 37, air-handling 23 73, terminal units 23 36. A takeoff that folds those into a single "HVAC" line hides where the cost actually lives.
- Access, hangers, and code. Seismic bracing, corridor smoke damper counts, access panels the specs require, and hanger detail per SMACNA can move a mid-size bid by a percent or more.
- Boundary with plumbing and fire protection. Domestic hot-water, sanitary, storm, gas, and fire mains all sit next to mechanical on the plans and get scoped inconsistently between subs. A good takeoff draws the line explicitly.
