Their teams work with massive volumes of drawings, specifications, RFIs, submittals, and riser diagrams, all of which must be understood before work reaches the field.

With dozens of bids arriving each week and teams searching across Procore, Building Connected, iSqFt, PlanHub, SharePoint, and email, Marathon needed a faster and more reliable way to extract information and make decisions.

The Challenge: Preconstruction Buried in Documents

Before Boon, Marathon’s preconstruction team relied on slow, manual review. Estimators compiled invitation emails into spreadsheets for review by upper management.

Information remains difficult to locate across systems, and field teams often reach out to chief estimators for clarification when details aren’t readily available in tools like Procore or OneDrive. Weekly bid emails still require manual sorting and interpretation of attachments, slowing down decision-making.

The Solution: Boon’s AI-Powered Document Intelligence & Bid Summary Engine

Marathon partnered with Boon to introduce electrical-specific automations built on Boon’s Multi-Modal AI Extraction Engine and Agent Studio workflow builder. Together, these systems enable Boon to read, understand, and automate actions across Marathon's invitation to bid workflow.

Boon’s extraction engine can process drawings, specs, submittals, RFIs, riser diagrams, wiring diagrams, site plans, scanned PDFs, and native digital files, converting everything into structured JSON.

This structured data flows into Boon’s Elasticsearch and vector database, making documents instantly searchable through Pulse Chat. It also powers the custom automations Marathon built in Agent Studio, including the Bid Summary Agent.

How the Marathon Bid Summary Agent Works

Marathon receives a heavy volume of invitations to bid each week. These arrive as emails, links, attachments, or BuildingConnected notifications.

The Bid Summary Agent automates the entire Monday morning process.

It collects all incoming bids, extracts key information such as due dates and scopes, and organizes them by priority. Every Monday, it sends a clean weekly summary used in Marathon’s internal bid/no-bid meeting.

After decisions are made, the agent also handles follow-up. It automatically sends custom decline messages for no-bid decisions and, for accepted bids, logs into BuildingConnected, downloads the bid package, and uploads everything to SharePoint.

Results

Over a six-week period, Marathon processed 643 bid invites through Boon, with weekly volumes ranging from 56 to 149 opportunities. This level of fluctuation reflects the real operating conditions of a high-volume contractor, where bid load can spike dramatically from week to week.

By centralizing and structuring every incoming bid invite, Marathon reduced the risk of high-value opportunities being overlooked during peak periods. Rather than relying on manual email triage, the team gained consistent visibility into all active bids, regardless of weekly volume.

In addition, Marathon estimates Boon saves up to 1 full day per week in bid review and intake effort. Over the course of a year, this equates to as much as 400 hours annually of regained preconstruction capacity, allowing the team to focus more time on evaluating the right opportunities and improving bid quality, not just keeping up with volume.
